A Day in the Life of an Event Manager

On your wedding day

Bright and Early Start


Our incredible Event Managers work tirelessly to ensure each and every couple has the Best Day Ever! They put in a lot of effort behind the scenes in preparation on your big day, so we thought we'd give you a little more insight into what they get up to.

They kick off their day bright and early, ensuring they respond to all those important emails and calls. After that, they meticulously check the entire venue, making sure lights and music are set up, and the tables and chairs are perfectly arranged.

At 8:45 am, our Event Managers also often have a lovely couple booked in for a viewing before the Wedding Party arrives!

And believe it or not, all of this happens before the wedding setup even begins!




A Warm Welcome


Your Event Manager will next begin setting up for your wedding. They transfer all of your boxed items out into the correct barns and begin to unpack it all. They will focus on the ceremony barn to begin with and pass over any extra fairy lighting to housekeeping to begin hanging up in the barns. They will also make sure that everything is set in The Dressing Room with an ice bucket and glasses ready for your arrival!


Suppliers begin to arrive from 10am. Your Event Manager will discuss timings with them and give them a tour of the venue if necessary. Then, before you know it, it's all about extending a warm welcome to you and your wedding party! Ensuring everyone is comfortably settled, they double-check that your needs are met. Before the festivities kick off, they'll revisit the schedule with you, offering a sneak peek of the setup to guarantee everything is just as you envisioned.


    The Setup Continues...


    Now, at this stage, the ceremony barn is all set and ready to roll, and it's time for your fantastic Event Manager to work their magic in dressing up The East Barn. They will lay out all tables for you with your decorative items and liaise with the catering team to make sure it's all set exactly how you want. It's also the time when the second wedding party typically makes their grand entrance! Once you've checked in, your Event Manager will swing by The Old Dairy to catch up with you. They'll go over the schedule, ensuring you're at ease knowing that everyone has safely arrived into The Dressing Room.


    With both parties now prepped and geared up for the big day, your Event Manager will add those finishing touches to create the perfect ambiance for your guests. They'll set the mood with your chosen playlist or guide live musicians to their designated spots, and they'll ensure all the candles are lit, ready to warmly welcome your guests.




    Registrars and Guests Arrive


    As the ceremony approaches, your Event Manager will arrange for you both to meet with the Registrars privately to discuss the ceremony. While this is taking place, they will warmly welcome your guests and direct them towards where the ceremony will take place.

    Once both meetings have concluded, your Event Manager will do their final check-ins with you both, ensuring there's no last-minute hiccups.

    It's then time to prepare the ceremony music, gather the wedding party together and line them up in order, ready for the grand entrance into the ceremony barn.


      Drinks Reception


      Following the ceremony, your Event Manager will either direct guests outside to celebrate or will work quickly to turn the ceremony barn around into a cosy drinks reception space. While you are left to enjoy these fresh moments as a married couple, your Event Manager will be busy transferring decorations over to the Wedding Breakfast Barn, taking cards and gifts to the Wedding Night Suite, and adding the final touches in preparation for your Wedding Breakfast.

      While the catering team take care of you and deliver your fabulous catering service, your Event Manager will use this short window of time to catch up on admin while occasionally checking in on things.




        Early Evening


        Before long, it's time to get the mic and sound system ready for the speeches! Your Event Manager will check that everyone is ready to go and will prepare any gifts or surprises to hand out. Your Event Manager will remain in the barn throughout all of the speeches to ensure everything goes to plan.

        It's then time for a team effort, alongside the catering team, to prepare the room for the evening festivities. They will clear tables, set the appropriate lighting, and welcome evening suppliers to discuss timings.

        Your Evening manager will then ensure all evening entertainment is ready to begin and gather guests for the cake cute and first dance. They may also need to move across any additional cards and gifts to the Wedding Night Suite, and where requested, organise a safe and effective sparkler shot.


        Celebrations


        Once your Event Manager is happy that you have everything you need and you're busy celebrating in the East Barn, they will use this time to catch up on any remaining admin. They will remain onsite until the very end of your day.

        They will continue to check on you throughout the evening, making sure the Dressing Room has been cleared, and will pop a complimentary treat from us in your Wedding Night Suite.

        After a full evening of dancing and celebration, it's then time for the part everyone hates, the goodbyes! Your Event Manager will send you on your way for a well needed night's rest with a warm hug and congratulations, ensuring you know all the details for breakfast and collection the next morning.

        While you settle down for the night and reminisce over your special day, your Event Manager will assist the night porter to move any remaining decoration to secure overnight storage.

        After a very long, busy, but perfect day, it is then time for your Event Manager to head home for a well-deserved rest.
